MCN 2017 Volunteer Opportunities

MCN needs you. Are you ready to jump in and help MCN make this year conference run smoothly? Are you reliable and ready to get the job done? Do you want to rub elbows with the big wigs and get your name out there in the MCN community? If yes, sign up to become a volunteer at the MCN conference.


Eligibility Requirements

MCN volunteers are expected to:

  • Be 18 years of age or older.
  • Work a minimum of one shift.
  • Agree to and sign the Volunteer Agreement.
  • Acknowledge and adhere to the Volunteer Guidelines.


Volunteer Expectations and Guidelines 

The MCN Volunteer Coordinator supervises all conference volunteers. 

  • Volunteers will be assigned specific shifts during the conference.
  • Volunteers must attend the Volunteer orientation the morning of each shift.
  • Volunteers are expected to arrive 15 minutes prior to their assigned shift to sign-in in the Volunteer office.
  • Volunteers are expected to wear business casual attire. You may be given a volunteer shirt or polo shirt to wear during your shifts. No jeans, baseball caps, hats, or athletic wear are allowed. Wear comfortable shoes.
  • Volunteers will receive a badge to be worn at all time throughout the MCN conference. 


Volunteer Benefits

  • Offset registration cost by day or for the whole conference, depending on the number of shifts you volunteer for and end up being awarded.
  • Shifts are 4 hours at most.
  • Opportunities to network with MCN program chairs, presenters, and other volunteers. We’re a cool group of people.
  • For single-day registration compensation, you must work one shift. Daily shifts are often filled by local volunteers who want to take one day off work, work the morning or afternoon shift, and attend sessions during the other half of the day. You are allowed to work multiple single-day shifts, if desired.
  • Full conference registration compensation is available to those volunteers who work 3 or more shifts. Often, out-of-town volunteers prefer this option to justify the cost associated with travel, lodging, and food.
  • Volunteer rewards do NOT include travel, lodging, or food.
  • Volunteers must make their own travel arrangements to/from the host city as well as local accommodation.


Volunteer Roles
We need many volunteers to complete a variety of different tasks. These include registration, social media, and general administration. Some volunteers are awarded one role. Some volunteers will have different roles for different shifts. It really depends on what is available and what you want to do.

  • Registration Desk: Help attendees who have pre-registered check in. Point those who haven’t registered toward the business office to register. 
  • Help Desk: Answer questions about the locations of sessions, other conference activities, and answer general questions about the hotel, venues, transportation and events.
  • Sessions: Post and hang sessions’ description cards by the entrance to each room. Support presenters with any AV problems. Pick up and drop off thumb drivers for audio recording, and generally ensure that sessions are running smoothly. These individuals are free to attend sessions if they wish, sitting in the back with their phone switched to vibrate, so that they can duck out and take a call should something be needed. Also check in between sessions with the registration desk folks (and Volunteer Coordinator) to see if they need relief for a bathroom break.
  • Tour Chaperone: Pick up complete list of attendees at the Registration office prior to shift. Meet group at designated pickup area for tour and check off those who are present on list. If someone would like to attend who doesn’t have a ticket and whose name is not on the list, send him or her to the business office. Accompany group on tour and make sure those attendees who want to return to the hotel to offer them a ride back on the bus. If possible, take a photos and tweet the tour.
  • Traffic Control: As attendees move between sessions, direct attendees to the right direction. Answer attendee questions as needed.
  • Bag Inserts: Help insert collaterals in conference bags. Any other duties as deemed necessary and requested by MCN’s Volunteer Coordinator.
  • Floater: Support conference committee with duties as assigned. This is an important role that changes constantly and requires flexibility.
  • Social Media Support: Help run the official @MuseumCN twitter account. Answer attendee questions. Retweet any buzz. Interact with the back channel.


Key Dates

  • April 1-30: Volunteer applications are accepted
  • May-June: Review and selection process 
  • June 15: Volunteer acceptance and paperwork begins
  • July 1: Conference registration with volunteer code begins. Signup asap. Each year, the conference sells out earlier and earlier. If you have not accepted the volunteer position and registered for the conference (with the volunteer code) by the time registration sells out, your volunteer position will be canceled. Again, register to confirm your place.
  • September 1: Last day to accept and register as a volunteer, if conference attendees are still available. After this date, if you have not accepted and registered, your volunteer status is revoked.
  • Monday, November. 6: Bag insert session
  • Tuesday, November 7 - Friday, November 10: MCN Conference. Each morning, we will hold a volunteer orientation. Each day, if you are scheduled to volunteer, you must attend the orientation.


How to Apply
If you’re interested in serving as a MCN conference volunteer, you need to fill out an application to be submitted to MCN between April 1-30, 2017.

We’d like to hear a bit about you, the skills you have, and why you would make a great volunteer for the MCN conference. Each year, we look for a dynamic pool of volunteers to help us make the MCN conference a success. We cannot accept all those who would like to volunteer, so let us know why we should select you. 

All applicants must fill out the general information section. Once you have filled out this section please proceed to the next page where you will find specific questions for different types of volunteer roles. Fill out only the sub-sections for which you wish to volunteer. Select "Start" below to begin.


Our Volunteer Coordinator will get in touch with you to discuss your interest and let you know if your application has been accepted by June 15, 2017 at the latest.
